Zoom - Host Controls in a Meeting
When you create or schedule a Zoom meeting, you are the Host. Attendees are those who are joining your session.
General Meeting Controls on PC and Mac Desktop Computers
The host controls appear at the bottom of your screen if you're not currently screen sharing. You may need to hover your mouse over the Zoom window for the controls to appear. Click the image to enlarge.
Hosts have access to these features (numbers in list below correspond to numbers in image above):
- Join Audio or Mute / Unmute: Mute and unmute your microphone. Audio Controls (click the ^ arrow next to Mute / Unmute): Allows you to change the microphone and speaker that Zoom is currently using on your computer, leave computer audio, and access the full audio settings. Tip: Use the following keyboard shortcuts to mute or unmute yourself. You can also use push to talk if you want to unmute yourself by holding the spacebar.
- Windows: Alt + A
- Mac: Shift + Command + A
- Start Video / Stop Video: Turns your camera on or off. Video Controls (click the ^ arrow next to Start Video / Stop Video): Change cameras if you have multiple cameras, select a virtual background (if enabled), or access your full video settings.
- Manage Participants: See who's currently in the meeting.
- Share Screen: Start a screen share. You will be able to select the desktop or application you want to share. Learn more.
- Chat: Access the chat window to chat with the participants. Learn more.
- Record: Start or stop a local recording. Attendees do not have access to start a cloud recording. Learn more.
- End Meeting: A host can end the meeting for all participants. Only the host can end the meeting.

Zoom Tools for Collaboration
Two powerful collaborative features of Zoom are screen sharing and the whiteboard. With screen sharing, you can demonstrate tasks to students or view the student's screen as they talk you through their difficulties, questions, etc. You can even conference about a paper, outline, presentation, or any other digital media with both parties able to view and navigate the materials together. And with Whiteboard, all users can collaboratively annotate at once.
Screen Sharing
Allow Users to Share
Any participant in a meeting can share their screen, a single application window, or a portion of the screen with the other user(s). The host is always able to share. Other users may need to have this permission turned on.
- Click Share at the bottom of your Zoom window
- Click Advanced Sharing
- Under Who can share? select All Participants
Now other users will be able to share using the same Share button on their Zoom window and with the same sharing options.
Sharing Options
When you click Share to begin sharing your screen, a pop-up window will open. This window has two tabs: Basic and Advanced.
Basic Tab
- Click to select a screen or an open application.
- You can also select the Whiteboard option.
- At the bottom of the window, there is an option to Share computer sound. Checking this option means the sound effects and other system audio from your computer will play on the computers of those with whom you are sharing. This option usually should be left unchecked. You will still be able to share the audio feed of your microphone.
- Once you select an item to share, click Share at the bottom right to begin sharing.
Advanced Tab
- If you wish to draw an area on your screen to share, click Portion of Screen.
- After making your selection, click Share at the bottom right to begin sharing.
- Before the sharing begins, you will be able to draw the area of your screen you want to share.
Sharing Tools
Once you begin sharing your screen, a menu tab will appear on the area of your screen you are sharing. It is minimized by default. Hover your mouse over the tab to expand options. Here are a few of the useful tools.
- Pause Share allows you to suspend sharing without closing it altogether. You may need to do this as you type in a password, for example.
- Annotate allows you to draw on your shared screen using a variety of marking tools
- The red Stop Share tab can be clicked when you are ready to completely disconnect the sharing. This does not end the Zoom meeting.

Sharing Your Screen and Whiteboard
Zoom meeting hosts can share their screen with the meeting attendees. Likewise, the host can allow attendees to share their screens.
